Conditions of Private Hire

Basic Instructions

  • You must be a member of the Association to hire the Centre
  • Premises may not be hired for eighteen or twenty first birthday celebrations.
  • No alcohol is allowed on site without agreement
  • Kitchens may only be used for serving not cooking food.

In short - We will keep your damages deposit if:

  • Fire alarms are triggered (no sparklers on cakes please)
  • Indoor or outdoor spaces are not cleaned and left as found.
  • Rubbish and food is not taken away
  • Bouncy castles are not removed on time
  • Any items belonging to the centre are missing.

Bookings

  • Private bookings are for members only.
  • The association reserve the right at any time to refuse/cancel the booking of these premises.
  • A £50 deposit is required upon booking. or 20% if hire is less than the deposit.
  • All bookings must be paid for 14 days prior to the event/booking.
  • If the event is booked less than 14 days prior to the date needed all payments must be made immediately in cash and in full.
  • Monies are not accepted on the date of the booking.
  • Cars are left in the car park at the owner’s risk.
  • The centre cannot accept responsibility for personal injury or loss of damage to personal belongings brought on to the site.
  • The centre staff have the right to enter the hired premises at any time.
  • The premises must be vacated by the time stated on the booking form (a period of up to 15 minutes is allowed either side of booking to allow for setting up and cleaning the premises)

Deposit and Damages Deposit

  • A non-refundable deposit is required to secure your booking.
  • Plus £100 cash (or £200 with the use a bouncy castle or agreement has been made to serve alcohol at the event) returnable Damages Deposit to cover breakages, damages, losses, extra cleaning etc is payable with the final payment.
  • Damages Deposit will be returned no later than 14 days of the event unless:
    1. the event goes over the time
    2. damages or additional costs have been incurred by the centre
    3. additional cleaning is needed after the event
    in which case an appropriate amount, as determined by the committee, will be retained.

Cancellation of the hire

  • Any cancellation must be in writing by the person named on the booking form.
  • The deposit of £50 will be retained by the centre in the event of a cancellation unless an alternative booking is made.
  • Full payment will be required if the booking is cancelled less than 2 days prior to the event.
  • If cancellation is by the Centre, every effort will be made to offer an alternative option.

Alcohol

  • No alcohol is allowed on site without agreement from the executive committee.
  • The sale of alcohol on these premises is forbidden.

Restrictions

  • The use of the premises shall be restricted to the areas and times booked.
  • The purpose and number of people attending, is restricted to that on the form.
  • No deliveries/collections may be made outside these times stated on the booking form unless prior agreement has been made with the management committee.
  • Premises may not be hired for eighteen or twenty first birthday celebrations.
  • The centre has the right to request guests leave if their behaviour is unacceptable.
  • In accordance with our license, all music ceased by 10:00pm

Health and Safety

  • Emergency access routes and fire exits must be always kept clear.
  • If the alarm goes off leave building, gather at the gate to the garden. Call 999.
  • The hirer must comply with the centre health and safety instructions.
  • All accidents and damages must be reported to a member of staff immediately.
  • Cooking is not permitted inside or outside
  • Fireworks or laser displays are not allowed.
  • Helium for balloons may be used but not filled on the premises.
  • Bouncy castles: evidence of public liability insurance must be given prior to the event.

Security

  • The hirer must make themselves known to the centre staff on arrival and be available throughout the event. Failure to do so could result in a cancelled booking.
  • If during the event anyone is concerned about the safety of those present or of the building, they should immediately inform the caretaker and the police if needed.

Noise

  • If the noise level is deemed to be excessive, steps will be taken to reduce the level.
  • Please respect our neighbours.

Smoking

  • Smoking is allowed on in designated areas and is adequately sign posted along with bin provided, they are situated on the front walls of both buildings.

Children

  • Take all reasonable precautions for the safety of the children
  • It is advised the ratio of two adults per ten children

Bouncy castles

  • Public liability insurance, risk assessment and guarantee of collection within the booking time will be required before agreement will be given for Bouncy Castles
  • If collection of the castle is not completed within time of hire the gates will be closed
  • A portion or all of the holding fee will be retained in such cases.

Catering

  • No access to the kitchen shall be allowed prior to the times booked.
  • Hirers are responsible for providing all necessary equipment and for washing up.
  • No children under sixteen will be allowed in the kitchen at any time.
  • Kitchens and equipment should be left spotless. Any costs incurred for addition cleaning will be taken out of the returnable damages deposit.
  • Hot food should be provided by a registered caterer.

Cleaning

  • A surcharge will be deducted from damages deposit for extra cleaning necessary.
  • It is the hirer’s responsibility to provide bin bags and remove all refuse waste.
  • Tables and chairs must be returned to their original position. For health and safety purposes chairs should be stacked as found. (see photo on the wall)

Public liability insurance

  • All hirers of the premises are responsible for any act of their own negligence.
  • (Private hires may be indemnified through their own home contents insurance policy, it therefore advisable to check with your broker before additional cover is purchased)
  • All caterers using the kitchen for the reheating of food must provide public liability insurance to the minimum level of £2M
  • The committee is required to see all documentation prior to accepting the booking.

Charges

  • The association reserve the right to alter charges without notice.
  • All prices agreed on hire will be honoured.
  • Hire charges will be reviewed on an annual basis.
